Careful answers, in writing — not compliance slogans
You're trusting a vendor to speak to prospective patients under your practice's name. That deserves specifics: what the system says, what it stores, who can see it, and what happens when a conversation turns clinical.
Approved content, and only approved content
Every message template is drafted with your practice and approved before launch. The system does not improvise clinical answers, quote unapproved prices, or generate free-form medical content. Changes to the library require your sign-off.
Consent-first texting (TCPA-conscious)
Outreach goes only to people who contacted your practice. During onboarding we review your lead forms so consent capture is in place, first messages identify the practice and include opt-out language, and STOP requests are honored automatically and permanently.
Honest sender identification
Conversations run under your practice's name with disclosure language you approve. Several states regulate automated-communication disclosure, and carrier registration (A2P 10DLC) requires truthful sender identity — deception is a liability we design out, not a feature.
Clinical boundaries & escalation
The system never diagnoses, prescribes, assesses candidacy, or gives individualized clinical advice. Urgent symptoms, clinical questions, complaints, and requests for a human all escalate to your designated contacts immediately, with the full conversation attached.
Data minimization & access control
Lead conversations are designed to stay in pre-patient, scheduling-and-information territory — no medical histories, no treatment records. Access to conversations is limited to your practice and the service personnel who support your account, and access is logged.
Retention & portability
Your practice can export full conversation logs at any time. Retention and deletion schedules are documented in your service agreement, and data is deleted on termination per that schedule.
"Is this HIPAA compliant?" deserves a real answer
Many vendors answer this question with a one-line slogan in either direction — "fully HIPAA compliant!" or "HIPAA doesn't apply to marketing!" We don't think either one-liner respects the question.
Here is our position, stated carefully: lead follow-up conversations are designed to stay in pre-patient, scheduling-and-general-information territory. The system does not request medical histories, discuss diagnoses, or handle treatment records. Whether and how HIPAA obligations attach to a specific engagement depends on the relationship with the practice and what information ends up in messages — and that is a determination we make with you, in writing, during onboarding, not a blanket claim on a marketing page.
- Conversation design keeps message content out of clinical territory by default
- Escalation moves clinical topics to your team rather than into the message log
- Business Associate Agreement availability, data-handling terms, and vendor documentation are reviewed during onboarding
- Your compliance officer or attorney is welcome in the onboarding conversation — we'd rather answer hard questions early
